Also, make sure that your scheduling system seamlessly integrates with your existing tools and processes, such as your online meeting software (i.e., Zoom, Google Meet), email marketing platform (i.e., Flodesk, ActiveCampaign, or ConvertKit), and payment processor (i.e., Stripe or PayPal).
  2. Set Up Your Integrations: Typically, there will be an Integrations tab in your online scheduling system that will allow you to easily connect your calendar to your online meeting software (i.e., Zoom, Google Meet), email marketing platform (i.e., Flodesk, ActiveCampaign, or ConvertKit), and payment processor (i.e., Stripe or PayPal).
  3. Create Your Appointment Types: Once you’ve selected your scheduling system, the next step is to create your appointment types and set up your availability. An appointment type can include details like the type of meeting, duration, questions you want clients to answer before booking, a Zoom or Google Meet meeting link, etc. There is also typically an “advanced details” section that will allow you to add padding between appointments, limit the number of appointments per day, and set boundaries on how soon and how far out you want clients to be able to book.
  4. Set Your Availability: Setting up your availability involves defining your working hours, blocking off time for personal commitments, and specifying recurring availability patterns. By customizing your appointment types and availability, you can establish clear boundaries and ensure your clients can only book appointments during times that work for you.
  5. Sync Your Calendar: Next, integrate your scheduling system with your calendar. This step is crucial for maintaining an accurate and up-to-date schedule. Calendar syncing allows your scheduling system to automatically update your availability based on your existing appointments and commitments. This eliminates the risk of double bookings and ensures your schedule remains organized and efficient.

These reminders can be automated emails or text messages that remind clients of their upcoming appointments. If you’re meeting virtually, the reminders can include your Zoom link.   7. Embed Your Calendar on Your Website: Once your scheduling system is set up, some coaches send clients directly to their calendar by a link. However, I recommend you embed your scheduler on a page on your website instead. This will give you a consistent URL for your scheduler and make it easy for you and your clients should you ever decide to switch scheduling tools. That way, clients won’t accidentally receive a broken link message if they click through to your scheduler from an old email or social media post.
  8. Test Your Appointment System and Share it with Clients: When your scheduler is set up and integrated into your marketing tools, test it to ensure it works. Then, you’re ready for clients to start booking appointments. The entire process is user-friendly and intuitive, making it a breeze for clients to schedule appointments with you.

Pro Tips & Etiquette of Using an Online Scheduler

While online scheduling systems can streamline and simplify the appointment booking process, following a few etiquette guidelines is essential to ensure a smooth experience for you and your clients.

Accommodate clients who are in different time zones or who may feel overwhelmed by tech 

Balancing flexibility and setting boundaries around your schedule is important when proposing times to clients.

I occasionally get a client who stresses over tech, or the online scheduling feels cold and impersonal to them. 

I also get people who might be in a time zone that aligns differently from the available hours in the scheduling software. 

To handle these situations, I added a sentence above the scheduler: “If you don’t see a time that works for you or prefer to book via email, click here to send us a message and include 3 possible days and times. We’ll do our best to make it happen.”

Avoiding wasting your time with tire-kickers

Everyone is not your ideal client, and even if you’re offering a free discovery call, it doesn’t mean you owe it to everyone to get on the phone with them.

I recommend adding some qualifying questions to the appointment booking process. If someone does not answer them correctly. i.e., suppose they’re not looking to take action within the next 30 days. In that case, it’s perfectly okay to email them an invitation to reschedule closer to when they’re ready to start. Or if they indicate with their answers that they aren’t a fit for your services. In that case, you can refer them to someone who might be a better fit, thank them for their interest, and cancel the appointment to respect their time and yours. 

Limit your availability to streamline the booking process

Offer a few options that align with your availability, but avoid overwhelming clients with too many choices. 

Set clear expectations

Clearly communicate your cancellation policy, rescheduling procedures, and any requirements or materials clients need to prepare before their appointment. This helps manage expectations and ensures that both you and your clients are on the same page.

Create rapport through good communication

The scheduling system you choose should have a way to personalize the messages and reminders it sends for each appointment type. This is an excellent opportunity to build rapport with your leads and clients. Customize the notifications to include your personality, give them tips or homework to prepare them for a great coaching session, etc.

Try Time-Blocking Your Appointments to Maximize Your Efficiency

Your time is valuable, and maximizing your productivity is essential. 

One of the biggest mistakes I made when I started using an online scheduler was setting my working hours as my availability. Inevitably, I’d end up with a day full of appointments, leaving only tiny pockets of time to work. 

That’s what turned me on to the efficient practice of time-blocking. Time-blocking involves allocating specific time blocks for different tasks and activities, ensuring you have dedicated periods to focus on particular areas of your coaching business.

I had several different categories I used for my time blocks: 

  • Me time: lunch, journaling, exercise, etc.
  • Maker time: client content creation, websites, funnels, etc.
  • Marketer time: my content creation, marketing, website, etc.
  • Meeting time: discovery calls, team calls, client calls
  • Management time: quotes, invoicing, project management, etc.

I set my availability in my calendar to only include “meeting time” blocks on Tuesdays and Thursdays. This gives me big blocks of time for deep creative work on Monday, Wednesday, and Friday.

To implement time-blocking in your business, start by categorizing your tasks into different areas, such as coaching sessions, content creation, administrative work, and personal time. Allocate specific time blocks for each category, ensuring you have dedicated periods to focus on each area. This helps prevent multitasking and allows you to give your full attention to each task.

Time-blocking not only enhances your productivity but also provides psychological benefits. By compartmentalizing tasks, you create a sense of structure and control over your schedule. This reduces overwhelm and helps you maintain a healthy work-life balance.

Remember, time-blocking is a flexible technique that can and will change as your needs change. My time blocking is different in the summer when the kids are home than during the school year when the house is quiet. Refine and adjust your time-blocking strategy as needed to ensure that it continues to support your goals and aspirations.

Tips to Increase Conversions with Your Appointment Booking System

The ultimate goal of your scheduling system is to convert potential clients into paying clients. 

Let’s optimize your booking system to create a sense of exclusivity and urgency to maximize your conversions!

Limit your availability

One common pitfall is offering too many available dates and times for appointments. While providing more time options to clients seems beneficial, it can overwhelm potential clients and lead to decision paralysis. 

Instead, offer a limited selection of available times that align with your availability. This creates a sense of scarcity and encourages clients to take action. (It also fits nicely into time-blocking!)

Limit how far out people can book

Booking too far in advance can also hinder conversions. Limiting the booking window to a reasonable timeframe, such as two weeks in advance, creates a sense of urgency and encourages clients to book appointments sooner rather than later.

Create a sense of exclusivity

Position yourself so that working with you feels like a privilege, not just a transaction. Emily Hirsh, of the “Not So Lazy Marketer’s Podcast” shares a strategy that flips the script. She invites her listeners to “Head over to ___URL to see if you qualify for a free strategy session.”

This flips the narrative by asking potential clients to apply and subtly hinting that not everyone will qualify. It’s not about filling a calendar; it’s about curating a transformative journey for those who align with your mission, vision, and values. 

Exclusivity can transform your coaching into a partnership with mutual investment. You’re not desperate and willing to work with anyone with a credit card and a pulse. And your clients aren’t just seeking a session; they’re hoping for a chance to partner with you as their guide on their journey to greatness. 

Create a sense of urgency

Consider offering limited-time offers, bonuses, or special packages for clients who book appointments within a specific timeframe. 

For a long time, I offered a free Appointment Funnel Blueprint for everyone who got on a call with me. This “shameless bribe” helped me in two ways: 1.) it encouraged people to book a session, and 2.) it boosted my show-up rate. 

It’s an effective strategy if you need help to fill your calendar or get people to attend your calls. 

Set firm boundaries

I have a rule in my business: if someone no-shows on a clarity call without letting me know, they’re not allowed to book again. I explain this on the booking page, and there is a link in every reminder and the calendar invite to cancel or reschedule. If someone doesn’t have the respect to notify me that they can’t make their appointment, it’s a strong indicator that they’re not the type of client I want to work with. 

Remember to optimize your schedule page for mobile!

Finally, make sure your booking system is user-friendly and intuitive. Optimize your booking page for mobile devices. Most of your clients will be accessing your scheduling system on their phones.

By implementing these strategies, you can increase conversions and transform potential clients into loyal paying clients.
