If running your business feels like a never-ending game of whack-a-mole, answering emails, chasing deadlines, juggling clients...you’re not alone.

For years, I lived in reactive mode. My calendar ran me instead of the other way around. I’d roll into a new quarter feeling like I never fully caught up from the last one, promising myself next quarter will be different.

But here’s the truth: unless you hit pause and reset intentionally, it never will be different.

That’s why I created a simple one-hour quarterly reset template, a 90-day business strategy and planning process for myself, and to help the coaches and service providers I serve, reset their business, gain clarity, and let go of what's no longer working to make room for what aligns.

It's simple. One intentional hour every 3 months to reflect, refocus, and reset. Not a week-long retreat, not a complicated planning system; just 60 minutes that give you back clarity and momentum.

And I packaged it into a free Quarterly Reset Workbook so you don't have to do it alone.

Discover What's Holding You Back in Your Marketing

Before we dive into the 1-hour quarterly reset strategy, it helps to know where YOU naturally thrive in marketing, and where you might be overcomplicating things.

What Is a Quarterly Reset?

A Quarterly Reset (sometimes called a quarterly business planning session or a quarterly review and planning ritual) is a simple, 60-minute business planning session you do every 90 days to review the past quarter, set clear goals, audit your business, and reset your routines.

It’s fast, focused, and effective.

Why Do a Quarterly Business Reset Over Yearly Planning

Annual Planning Alone Isn’t Enough

Annual planning sounds good in theory: set big goals in January and follow them for 12 months.

But let’s be real, life and business shift too fast for that.

  • By March, your plan is outdated.
  • By July, you’re winging it.
  • By October, you’re swearing you’ll “plan better next year."

On the flip side, weekly and daily planning keeps you in the weeds. You’re checking boxes and moving tasks, but without a bigger filter, you end up working on things that won't help you create the business and life you crave.

The Power of Quarterly Planning

That’s where a quarterly reset comes in.

It’s the perfect middle ground. Long enough to make meaningful progress. Short enough to course-correct before you drift too far.

When you pause once a quarter to reset, you:

  • Step out of overwhelm and into clarity
  • Celebrate what’s working (and release what’s not)
  • Refocus on the one big thing that matters most
  • Reclaim your energy by letting go of distractions

The Benefits of Quarterly Planning for Coaches and Service Providers

Here are 10 reasons why taking just one hour every three months to reset your business can make all the difference:

  1. Figure out which clients light you up (and which drain you): We've all had those clients who make our heart sing—and others who make us want to hide under the covers. A quarterly check-in gives you permission to admit which relationships aren't working and make changes before resentment builds.
  2. See which offers people actually love: Instead of keeping services around because "you've always offered them," you can spot which packages your clients rave about and which ones feel like pulling teeth. Then double down on what brings you joy, the best results for your clients, and generates the most profit!
  3. Spot money patterns you'd otherwise miss: Notice you always have a summer slump? Or that certain types of projects consistently pay better? These patterns hide in plain sight until you pause to look for them.
  4. Stop wasting time on marketing that doesn't work: Tired of feeling scattered across five different platforms? Your quarterly business reset shows you exactly where your best clients are coming from so you can focus your energy there and ditch the rest.
  5. Prevent that "I can't take one more call" feeling: By regularly checking in with your energy levels and workload, you can make tweaks before you hit total burnout, like adding buffer days, one "time to breathe" week each month, or setting boundaries around email hours.
  6. Realize when it's time to raise your rates: Many of us keep charging the same rates out of habit, even as we get better and faster. A quarterly business review reminds you to honor your growing expertise with prices that match your value.
  7. Simplify your behind-the-scenes chaos: Spot the clunky processes eating up your time and find simpler ways to get things done—whether that's finally setting up that scheduling tool or creating email templates for common requests.
  8. See the forest through the trees: Day-to-day work can feel like you're just treading water, but stepping back quarterly helps you see just how far you've actually come—which is usually much further than you give yourself credit for!
  9. Focus on what actually moves the needle: Instead of doing a little bit of everything, you can identify the handful of activities that truly grow your business and impact, then give yourself permission to let go of the rest.
  10. Actually celebrate your wins: We're often so busy moving on to the next thing that we forget to acknowledge our growth. A quarterly reset creates a moment to high-five yourself for all you've accomplished before diving back in.

Think of your quarterly reset like a pit stop in a race, that brief pause to refuel, check your tires, and make adjustments is exactly what helps you finish strong rather than breaking down on the final lap.

It's that old, but very true cliche about spending so much time working in the business, and not enough on it. Doing a quarterly business reset (QBR) gives you a chance to fix that.

The Four Pillars of a Quarterly Reset

A quarterly reset doesn’t have to be complicated. In fact, it shouldn’t be. My framework is built around four pillars that keep you focused without getting lost in busywork.

1. Review & Reflect

Take a look back before looking ahead. I'm not talking about dwelling on woulda, coulda, shoulda's or beating yourself up for mistakes and missed opportunities. This is time to look for patterns and opportunities to improve both your business, and work-life balance.

Ask yourself:

  • What were my top three wins last quarter?
  • What challenges did I face, and what did I learn?
  • Where did I spend most of my time and energy? Did that match my goals?
  • What do I want to carry forward? What do I want to leave behind?

Why this matters: What gets celebrated gets repeated. What gets ignored gets repeated too. Review and reflect allows us to move forward with clarity and intention.

2. Reset Your Vision & Goals

Big goals are great, but your brain needs a time horizon it can wrap itself around. That’s why 90-day goals are magic and having a quarterly reset template can really help.

Instead of 12 months of vague pressure, focus on the next 90 days.

Here's how:

  1. Choose one big, clear, measurable quarterly goal (SMART: specific, measurable, achievable, relevant, time-bound).
  2. Write down why this goal matters, not just in business terms, but what it creates for your life.
  3. Pick a word, theme, or mantra for the quarter to anchor your focus.

Ask: If I only achieved this one thing this quarter, would I feel proud of myself?

3. Audit Your Business

For those of you who aren't in my group programs, I have invented a new word about how I want to show up in my business and life: "Subtractful." It means thoughtfully and intentionally subtracting what no longer serves me.

Like the trees in the fall releasing their leaves, it's time to subtractfully decide what stays, what goes, and what needs attention in your business.

Evaluate all the moving parts of your business:

  • Projects: Which 1–3 deserve focus this quarter? Which can wait?
  • Clients: Who energizes me? Who drains me? Do I need new boundaries or offboarding conversations?
  • Offers: Which offers make money and feel aligned? Which need a price tweak, refresh, or retirement?
  • Money: What stories do my numbers tell? Where am I leaving money on the table? Do I have debt or expenses that need attention?
  • Systems: Are my tools supporting me or slowing me down? What can I automate, simplify, or cut?

Again, this audit isn’t about shaming yourself. It’s about freeing yourself to focus on what really matters.

4. Reset Your Lifestyle & Energy

This one’s often skipped, but it’s so important. Without you, your business, clients, family, etc. will suffer. It's time to hustle for self-honoring activities, and the daily grind for ease and grace.

Ask yourself:

  • What daily practices will keep me grounded (morning start, workday flow, evening wind-down)?
  • What weekly rhythms will create consistency (planning, marketing, family time, rest)?
  • What self-care commitments do I want to honor (nutrition, sleep, movement, hobbies, boundaries)?
  • What fun, creativity, or adventure do I want to bring into my life this quarter?

Your business can only grow as sustainably as you do.

How do Do the 60-Minute Quarterly Reset Ritual

  • Download the free Quarterly Reset Workbook.
  • Grab your favorite beverage.
  • Put on your favorite playlist.
  • Make this feel like a retreat, not just another to-do
  • Challenge yourself to get this done in an hour. (It's possible - I just did it myself!)

I mean it about challenging yourself to get it done in an hour. It could be really easy to fall into perfection mode and spend days doing this reset. Just listen to your intuition, jot down whatever comes to mind first, and move forward with messy, imperfect action!

Step 1: Looking Back and Looking Ahead (10 minutes) (p. 4-7)

Step 2: Audit Your Business (30 minutes)

  • Projects: Map projects that will improve your business and life (p. 8-10)
  • Clients: Curate your client A-List, review boundaries, etc. (p. 11-16)
  • Offers: Evaluate your offers; which to promote, refine, or retire (p. 17-22)
  • Money: Finances snapshot, hidden money scavenger hunt, mindset reset (p. 23-27)
  • Systems: Organize and streamline: Inbox, files, tasks, tech tools, etc. (p. 28)

Step 3: Set Self-Honoring Goals, Routines, and Flow (10 minutes)

  • Personal Goals: Design the lifestyle of your dreams (p. 29-31)
  • Daily Practices: Create a daily routine that honors your energy (p. 32)
  • Weekly Rhythm: Plan how you’ll stay consistent throughout the week (p. 33)

Step 4: Schedule Implementation Time (10 minutes)

  • Quarterly Priorities: Block time for your top 3 projects and goals.
  • Client & Offer Actions: Schedule check-ins, price updates, or off-boarding calls.
  • Money Habits: Add reminders for bookkeeping, tax set-asides, and reviews.
  • Systems Cleanup: Create a recurring appointment to tidy your systems
  • Daily & Weekly Rhythms: Add your routines as repeating calendar blocks.
  • Self-Care Commitments: Book appointments, workouts, or creative time like you would a client call.

Too Busy for a Full One-Hour Reset?

Psst. You should really talk to your "boss" about that!

Here's a 15-Minute Mini Quarterly Reset You Can Try!

Step 1: Clear the Decks (3 minutes)

  • Circle one commitment you’ll let go of
  • Cross off one task that no longer matters
  • Write one boundary you’ll set to protect your time

Step 2: Set Your Focus (5 minutes)

  • One thing I’ll be proud to achieve this quarter
  • This supports my bigger vision by…
  • To make this happen, I’ll need to: Stop / Start / Continue

Step 3: SHIFT into Action (5 minutes)

  • Schedule: Remove one thing
  • Habits: Add one thing
  • Information: Organize one thing
  • Flow: Strengthen one routine
  • Tasks: Do one thing

Step 4: Quick Mantra (2 minutes)
Examples:

  • “Less hustle, more flow.”
  • “Protect my energy, serve with ease.”
  • “One thing at a time.”

Common Mistakes People Make

  • Perfectionism and procrastination (they are the sneaky saboteurs of progress).
  • Setting too many goals (more goals = more overwhelm).
  • Avoiding the money (ignoring your numbers only delays the stress).
  • Forgetting energy (skipping rest and self-care = fast-track toward burnout).
  • Clinging to misaligned clients or offers (just because you can doesn’t mean you should).
  • Neglecting systems (messy tools and inboxes steal hours of your time every week).

How to Make It Work for You

Here’s the secret: it’s not about perfection. (Are you picking up on my theme here?)

The secret to success is consistency.

  • Schedule it: Put one hour on your calendar each quarter and honor it.
  • Make it enjoyable: Coffee, candle, playlist...turn it into something you look forward to.
  • Keep it simple: You don’t have to fill every line. Answer what sparks clarity.
  • Repeat: The magic isn’t in doing it once. It’s in doing it every quarter.

Small shifts compound. By the end of the year, you’ll be shocked at how much you’ve achieved without feeling like you worked harder.
