- Finding the time to create and promote content
- Knowing what kinds of content will engage our audience
- Getting past our own insecurities or worries about coming across as sales-y
Whatever may be holding you back from being a successful content creator, this post will help!
Today, I will help you simplify content planning and the overall content marketing strategy.
How to Simplify Your Content Marketing: Strategies for Efficiency and Consistency
It is critical to consistently show up in your business. Your ideal clients need to know about your business, and your marketing is the only example of what working with you might be like. If you're inconsistent in your marketing, they may assume you'll be inconsistent in delivering your services.
Remember, no one knows how good you really are until after the sale. That's why your marketing has to work!
The Foundation of Any Content Marketing Strategy is to Focus on Your Ideal Client
The first step in improving your content strategy is concentrating on your ideal client's transformation. Ask yourself:
- Who is your ideal client?
- What are their needs and challenges?
The goal of any great content marketing strategy is to provide useful content that adds value to your ideal clients' lives.
For coaches and service providers, this often means being of service by solving a problem your ideal clients have.
Creating valuable content begins with brainstorming topics your ideal clients will be interested in. Make a list of the problems your target audience has. Stay relevant by answering their biggest questions.
My Favorite Content Creation Overwhelm-Busting Benefit of Focusing on Your Ideal Clients...
When you're focusing on your clients, you're not focusing on yourself or your insecurities.
Does your fear of what others may think keep you from showing up, getting visible, or playing full out in your marketing?
It's common for coaches and service providers to feel self-conscious when marketing themselves. They are often afraid of coming across as sales-y or self-promotional. That's why I teach my clients to focus on content that serves their audiences before they spend a single dollar!
This is perfect, especially if you're feeling insecure about getting on camera or hitting publish on a blog post. It shifts your focus away from yourself to that one person you might be able to help. This approach shifts the narrative from self-consciousness to service, making it easier to connect and engage with your audience.
Prioritize and Plan Your Marketing
Planning my marketing ahead has been a game-changer for me, helping to clear the mental clutter and insecurities of stepping into the spotlight. Here are some tips to help you create engaging content without getting overwhelmed.
-
- Assess your schedule and identify high-impact activities
-
- Delegate or automate tasks to create space for content creation
-
- Break your marketing plan into manageable, bite-sized pieces
-
- Make content that's easy for you to create. If you like to write, write. If video is your thing, grab your phone and record yourself.
-
- Focus on long-form searchable content like blogging, podcasting, and videos. These types of content formats have a long shelf life and will be a better use of your time than focusing only on social media content creation.
By planning ahead, you can avoid procrastination and overwhelm. With a clear strategy and steps laid out, you can focus on executing your plan rather than hitting writer's block, burnout, or procrastination when you're inventing your content strategy on the fly.
When Planning Your Content, Set Realistic Goals That Align with Your Business Goals
Let's face it: when it comes to content marketing, you won't be successful if you're not consistent, and it's hard to be consistent at anything if you don't plan ahead.
Winging it with your content can be overwhelming at best or lead to burnout when you're feeling pressured to constantly perform.
Set realistic goals and plan ahead to avoid content creation overwhelm and ensure sustainability in your efforts.
Begin with questions like:
-
- Why are you creating content? How do you see it benefitting your audience and your business?
-
- What is the purpose of your content? You must have a goal for every post, podcast, or video you create. Some examples of great content goals are:
-
- Encouraging opt-ins to grow your email list
-
- Establishing yourself as an authority in your niche
-
- Increasing your SEO traffic from the search engines
-
- Promoting your lead magnet, services, or products
-
- Boosting engagement on your social media platforms
-
- What is the purpose of your content? You must have a goal for every post, podcast, or video you create. Some examples of great content goals are:
-
- What types of content work best for you? For example, recording a short video that can be transcribed into a blog post and turned into a podcast episode can give you the most flexibility.
-
- What content formats does your audience prefer? For example, if your audience is full of busy moms, they may prefer a podcast they can listen to while waiting in the carpool line or when taking their morning walk.
Create a Content Calendar (AKA: Editorial Calendar)
- Use tools like our Marketing Planner inside of Planner Genius, Google Calendar, Trello, Asana, or ClickUp to plan your content
- Focus on creating one piece of long-form content each week
- Identify your content pillars and brainstorm topics for each
- Schedule dedicated time for content creation and eliminate distractions
Mastering the Art of Batching Content: "Batch Working"
Batching content is sometimes called batch working. It means creating similar content all at once, using the same tools and methods.
I like to dedicate specific days to complete similar tasks to simplify the content creation process.
For instance, you might spend Monday brainstorming and outlining blog posts, Tuesday drafting the copy, and so forth, until the content is completed. This structured approach not only saves time but can also increase focus and consistency without feeling overwhelmed.
The benefits of batch working go far beyond just feeling more organized. It reduces the stress associated with last-minute content creation.
By planning and producing content in batches, you avoid the challenges of rushed content that can feel low-quality. Trust me, your audience can tell when a piece has been hastily put together, which can affect how they view your brand.
Batch working allows for content to be prepared well in advance, which means you can have a life! Got a vacation coming up? Schedule it and go have fun.
5 Steps to Get Started Batching Your Content Creation
-
Identify your main topics, also known as content pillars. I recommend starting small by choosing 3 to 5 content pillars.
-
Brainstorm ideas. Leverage AI for this! A 10-minute dance with Chat GPT can give you a list of over 200 types of posts, videos, or podcast topics you can use!
-
Before starting a batching session, ensure you have everything you need, such as your outlines, talking points, calls to action, etc.
-
Batch similar tasks (e.g., recording videos, writing blog posts, creating graphics) and set boundaries on your time. Each project will expand to fill the time available, so allocate your resources wisely and ditch perfectionism.
-
Do whatever you can to make creating your content feel super rewarding instead of an incessantly mentally taxing process.
Batching content increases efficiency, focus, and creativity while reducing procrastination and improving time management. Remember to make it fun! Light some candles, make your favorite tea, and let content creation be a chance for you to enjoy some creative self-expression. :)
Let's Talk Time Savings: Leveraging Templates, AI (Artificial Intelligence), and Content Marketing Tools
Templates eliminate the tendency of constantly reinventing the wheel
Templates offer a structured approach that streamlines the content production process. It also keeps your content feeling consistently on brand.
-
- Time Efficiency: Templates reduce the time you have to spend making content by providing a pre-designed framework.
- Brand Consistency: Using Canva templates for your YouTube thumbnails and social media content graphics makes it easy to stay on brand without hiring a graphic designer or needing fancy design skills.
- Streamlined Workflow: Templates are one of my favorite shortcuts to making my content workflow faster and easier. For example, I have several "templates" in my video editing program (Descript - Affiliate Link) for various calls to action, lower thirds, etc., to make editing quick and easy!
- Flexible Frameworks: I love to template all the things! Blog article templates, social media posts and graphics, thumbnails for videos and podcasts, show notes, email newsletters, etc. You're going to feel more flexible and creative without reinventing the wheel each week.

AI is like having a free, built-in marketing agency for your coaching business
We've proven for years we don't "need" AI (Artificial Intelligence) to successfully market our businesses, but man-oh-man is it a time saver. It's one of those things I love to experiment with, just to see what works.
Here are a few of my favorite AI uses for content creation:
-
- Use AI tools like ChatGPT, ClaudeAI, or Gemini to generate content ideas and outlines
-
- Transcribe videos into blog posts to save time on writing
-
- Edit videos: removing my "ums" and "you knows"
-
- Many social media scheduling tools will help craft posts and captions with AI
-
- Analyzing my metrics and analytics to stay on top of what's working
-
- Repurposing content across different channels (e.g., long videos to Instagram Reels, TikTok's, and YouTube Shorts, video to podcast, blog to social media, etc.)
Tools to Automate and Schedule and Promote Your Content
Automating and scheduling your content promotion is a game-changer for streamlining your marketing efforts.
-
- Utilize social media scheduling tools like Buffer, Hootsuite, or CoSchedule to schedule your social media posts in advance, ensuring a consistent presence across platforms without the need to manually post every day.
-
- Don't forget to nurture your email subscribers by sending them your latest blog posts, keeping them engaged and informed.
-
- Finally, leverage email automation sequences to deliver your best-performing content to your audience continuously, providing value and building trust with your subscribers.
Make Content Repurposing Your BFF
Content repurposing is a smart strategy that helps you get the most use out of your content while reaching a bigger audience! By repurposing your existing content, you can save time, effort, and resources while delivering your message in ways that appeal to various audience preferences.
How to turn good content into great content through repurposing
Here are three ways to turn overcome content creation overwhelm:
- Splintering: Taking longer content and dividing it into smaller pieces of content. For example a long video, sliced into one-minute YouTube shorts.
- Combining: combining smaller pieces of content into one larger piece of content. For example, combining several blog posts on a topic into an Ultimate Guide for your audience.
- Reformatting: Changing the format of a piece of content. For example, stripping the audio from a video and turning it into a podcast or transcribing the video and turning it into a blog post, social media post, and email marketing
My motto is to repurpose as much content as possible to reach more people, make your message stick, and get the most out of your marketing. It significantly reduces the sheer amount of content you need to get and stay in front of your audience.
Use Analytics to Allow You To Optimize Your Content Marketing Strategy
Leverage the power of analytics to optimize your content marketing strategy and ensure that your efforts are giving you the best results. By tracking key metrics specific to each content channel, you can see what resonates with your audience, identify your top-performing content pieces, and make data-driven decisions to create sustainable long-term strategies that work.
Here are a few tips to follow:
-
- Track metrics appropriate for each content channel (e.g., open rates, click-through rates, engagement)
-
- Add your high-performing content to your autoresponder sequences
-
- Use Google Analytics to monitor traffic and audience's behavior
-
- Keep your analytics simple and focus on one or two key metrics per channel
-
- Monetize your content to maximize your time and financial investment
-
- Stay on top of things and navigate the crazy landscape of social media when the platforms change their algorithms
Content Marketing Doesn't Have to Be Hard or Overwhelming
By focusing on simplicity, planning ahead, and leveraging tools and strategies to streamline your efforts, you can consistently create quality content that resonates with your audience. Remember, the more you practice, the easier it will become, and your audience will appreciate your consistency.
